TrackFlow by RubyWeb

YOU PAID FOR THE CLICK. YOUR CRM CAN'T SHOW WHICH AD BROUGHT THE LEAD.

TrackFlow is campaign attribution for WordPress. It captures your campaign data the moment a visitor lands and holds it until they become a lead, so every form submission reaches your CRM with its source attached.

A standard setup takes about half a day. Attribution data starts on day one.

The Problem

Attribution Data Disappears Before Your Visitor Reaches the Form

You are spending money on campaigns. Google Ads, Meta Ads, email sequences, referral links. Every one of them has a cost, yet most businesses have no idea which ones are actually generating leads. Not clicks, not impressions, but actual inquiries from people ready to buy.

When someone clicks your ad, their traffic source lives in the URL for a few seconds. By the time they fill out your contact form, it is gone. TrackFlow fixes that quietly, automatically, and permanently.

  1. 1

    Visitor Clicks Your Ad

    yoursite.com/?utm_source=googleSource in URL
  2. 2

    Visits Your Contact Page

    yoursite.com/contactSource lost
  3. 3

    Lead Reaches Your CRM

The Process

Installed Once. Runs Quietly. Attributes Every Lead.

TrackFlow works in the background from the moment it is installed. There is nothing for you or your team to do after setup.

  1. Visitor Lands

A visitor arrives from a paid ad, email campaign, or tracked link. Their campaign data is captured immediately and stored in a secure first-party cookie.

  2. Data Stays Stored

As they browse and head to your contact page, the campaign data stays in the cookie across pages and sessions, for up to 30 days.

  3. Form Is Submitted

When they submit your contact form, TrackFlow passes the stored campaign data into the submission as hidden field values.

  4. Lead Arrives Attributed

The lead lands in your CRM with source, medium, campaign, keyword, and click ID attached, all visible on the lead record.

Benefits

What Improves After TrackFlow

Every lead arrives with its source attached, so you always know what is working.

  • Every Lead Is Sourced

UTM source, medium, campaign, keyword, and ad click ID arrive in your CRM automatically on every form submission.

  • Campaign ROI Becomes Visible

See which Google Ads campaigns, Meta ad sets, or email sequences are generating real leads, not just traffic.

  • Attribution Persists Across Pages

Visitors who land on one page and convert on another are still fully attributed, even after a long research journey.

  • CRM Data Quality Improves

Every lead record is enriched with source data from day one. No manual tagging, no guessing, no gaps in your records.

  • Ad Agency Accountability

Independently verify which campaigns are delivering leads, in your CRM, not in someone else's report.

  • Works Through Page Cache

A dual-layer capture system records attribution even on sites running WP Rocket, Cloudflare, or WP Engine caching.

Who Is It For

Built for Any Business Spending Money on Campaigns

  • Businesses Running Paid Advertising

Google Ads, Meta Ads, LinkedIn Ads, Microsoft Ads. If you are paying for traffic, you should know which campaigns generate leads, not just clicks.

  • eCommerce Businesses

Multiple traffic sources, campaigns, and products. TrackFlow gives you source attribution on every contact form and inquiry submission.

  • Businesses Using Email Marketing

UTM tagged email campaigns show which send, which segment, and which message drove a lead to convert.

  • B2B Businesses With Longer Sales Cycles

Prospects often research for days or weeks before reaching out. TrackFlow keeps campaign data stored for up to 30 days, so the source is still there when they get in touch.

Why RubyWeb Built It

We Treat Every Website Like It's Our Business to Grow

We built TrackFlow because we kept seeing the same problem on client sites. Money going into campaigns. Leads coming in. No connection between the two. A business you cannot measure is a business you cannot grow.

TrackFlow is maintained by the RubyWeb team and updated as browser privacy standards and platform APIs evolve.

Common Questions

TrackFlow FAQ

Does TrackFlow work with any contact form plugin?

TrackFlow is compatible with Gravity Forms, Contact Form 7, Formidable Forms, WPForms, and Fluent Forms. The setup differs slightly between plugins, but the attribution outcome is identical. Your RubyWeb contact configures the right integration for your stack.

What CRMs does it work with?

TrackFlow passes attribution data into any CRM connected to your WordPress forms through a form add-on or webhook. Confirmed integrations include Salesforce, HubSpot, and Zoho CRM.

What happens if a visitor arrives from organic search?

Nothing is written to the cookie and nothing is submitted with the form. The UTM hidden fields stay empty for organic, direct, and untagged traffic, which accurately reflects the visit.

Does it work with WP Rocket or Cloudflare caching?

Yes. TrackFlow uses a dual-layer capture system built for cached pages. A JavaScript layer runs on every page load, so attribution is captured even when a cached page is served.

How long does setup take?

A standard setup takes approximately half a day. It covers plugin installation, hidden field configuration on up to three forms, CRM field mapping, WP Rocket configuration, and a test submission to verify the full chain, with a debug sign-off before handover.

What does the annual license cover?

The Basic license covers plugin updates and email support as browser privacy standards, platform APIs, and WordPress core evolve. The Maintained license adds an annual tracking integrity audit, so your attribution data stays accurate.
